Calendar & Appointments - Organize Visits and Check Capacity | ReConto PRO

Organize Visits and Check Your Team Capacity

Simple daily calendar, past visits with complete documentation (photos, signatures, timestamps), and appointment requests you approve or reschedule.

❌ The Pain

  • Visits in Excel or paper—hard to see available capacity
  • Don't know what happened in previous visit without searching WhatsApp
  • Client requests appointment and you don't know if you have space that day
  • No record of when you arrived/left or client signature
  • Double bookings because there's no centralized view

"Disorganization = Forgotten visits and unhappy clients."

🤖 The Solution

  • Simple daily calendar—see all scheduled visits
  • Past visits with timestamps, location stamps, signatures, notes and photos
  • Client requests appointment—check available capacity before confirming
  • Approve requested appointment or suggest new day with better availability
  • Avoid double bookings seeing everything centralized

"Simple, organized, effective for managing your schedule."

✅ The Result

  • Never more double bookings or forgotten visits
  • Complete history of each visit with evidence
  • Visible capacity—optimize workload
  • Organized appointment requests—respond professionally
  • Everything documented for disputes or insurance

Organized calendar = Reliable service.

What It DOES Do (And What It Doesn't Yet)

DOES: Daily calendar, visits optimized by distance (from your business), calculated capacity (green/yellow/red), documented past visits, appointment requests. DOESN'T (yet): Drag-and-drop visits, visible exact time per visit, traffic optimization.
Appointment calendar

Past Visits: Your Best Evidence

Most valuable: each past visit stays with timestamps (when you arrived/left), location stamps, client signatures, notes and photos of work. This protects you in disputes and shows professionalism.

How It Works

  1. 1

See daily calendar with all scheduled visits

  2. 2

Client requests appointment—check your available capacity before confirming

  3. 3

Approve appointment or suggest another day with better availability

  4. 4

During visit: team marks arrival/departure, takes photos, collects signature

  5. 5

After: everything is recorded in past visit with complete evidence

  6. 6

Check visit history with timestamps, locations, signatures and photos when needed

Calendar examples

Real Cases

  • Client requests appointment Friday—check calendar, already full, suggest Monday

  • Tech marks arrival 9:15am, departure 11:30am—timestamps recorded automatically

  • Client says "they didn't come"—you show timestamp + location stamp + signature proving they did

  • 3 months later need photos of previous work—they're in past visit with exact date

⚠️ Honesty: For now we DON'T have drag-and-drop visits . We're working on improving it. What DOES work well: past visit documentation with timestamps, signatures and photos.

Why an Organized Calendar Is Essential For Providers

In residential services, losing track of scheduled visits or arriving unprepared costs money and clients. Studies show 52% of service cancellations are due to delays from poor planning (Field Service News).

Most Valuable: Past Visit Documentation

Beyond organizing your day, the real value is in having complete record of each past visit:

  • Precise timestamps: Exact proof of when you arrived and left
  • Location stamps: GPS location where you marked arrival/departure
  • Client signatures: Digital acceptance of work performed
  • Work photos: Before/after visual evidence
  • Notes and reports: What was done, materials used, pending items

Capacity Management: Green/Yellow/Red

System calculates your team's capacity intelligently:

🟢 Green: Workday has available space (ex: 5 hours used of 8)

🟡 Yellow: Near limit (ex: 7 hours used of 8)

🔴 Red: Overloaded (ex: 9+ hours scheduled)

Calculates: travel time between points + estimated duration of each visit. It's approximation but useful to distribute load.

Simple calendar + complete visit documentation = Organization that protects your business and generates client trust.

Frequently Asked Questions

No (yet). For now visits are added to day but you can't drag them to reorder. We're working on adding drag-and-drop.

Don't show exact visible time, but there IS optimization: ordered by distance assuming your business as starting point. This minimizes travel. What's missing is drag-and-drop to reorder manually.

Past visits stay completely documented: arrival/departure timestamps, location stamps, client signatures, work photos, notes. This is GOLD for evidence and professionalism.

Client can request appointment if you authorize it. You see request, check your available capacity on calendar, and approve or suggest another day. Client receives confirmation or alternative proposal.

Yes. System calculates travel time between points + estimated duration of each visit. Assuming 8-hour workday, gives visual indicator: 🟢 Green (capacity available), 🟡 Yellow (near limit), 🔴 Red (overloaded). It's approximation but useful to distribute load.
